Submission Rules and Instructions

  1. How to participate

Read through all sections of the below submission information and rules, then complete the caption template and the submission form.

  1. Timing

Submission period begins at 11:59 a.m. Central Time on July 24, 2020 and will end at 11:59 p.m. on September 8th, 2020.

  1. Eligibility & Consent

Participation is open to individuals who are currently working (professionally or volunteer-based) in the following fields/disciplines in Texas:

  • Archaeology
  • Cultural Resources Management
  • Historic Preservation
  • Public History
  • Tribal Historic Preservation or Cultural Resource Programs
  • Curation, Collections Management or Conservation for cultural/archaeological collections

Providing a Submission constitutes the photographer's consent to give sponsor (TxPAN) a royalty-free, irrevocable, perpetual, nonexclusive license to use, reproduce, modify, publish, and display such Submissions in whole or in part,  in perpetuity, and to incorporate it into other works, in any form, media, or technology now known or later developed, for any purpose whatsoever, including for promotional or marketing purposes. For clarity, by providing a Submission, entrant also consents to give Sponsor a license to use photographer's name, as well as the name of their employer, affiliated company, institution, or organization (as included on the submission form) in the physical and online exhibitions.

 

Sponsor reserves the right to make minor alterations to photo titles and descriptions for the purpose of correcting grammatical and spelling mistakes, etc.

  1. Submission Guidelines
  • Photographs submitted must adhere to the following subject matter criteria:
    • Archaeological Resources of Texas (Prehistoric or Historic), including sites, artifacts, or preservation work in action.
    • Cultural Landscapes of Texas
    • If the photograph includes an Historic structure, it must have a connection to archaeology (in Texas).
    • Any Tribal Historic Preservation Office (THPO) work in Texas.
    • Photographs may contain plants and animals to show connection between environmental and cultural resources, but the primary subject matter must clearly be archaeological in nature or depict a Traditional Cultural Property (TCP).
  • Participants must only submit one form with one photograph; submissions are limited to 2 per person during the submission period. Depending on abundance of submissions, only one submission per person may be selected for final display.
  • All photos must be recent; taken within the last 5 years.
  • All photos must be original, meaning you may only submit photographs that you took and for which you own the copyright. Or, if a photograph’s copyright is owned by the photographer’s current or former employer (i.e. firm), proper permission must be obtained, and credit to the employer provided. Similarly, if the photograph submitted was produced for a report whereby the client maintained copyright, proper permission must be obtained and credit to the client provided. Proof of permission to use a copyrighted photograph must be provided as a signed form or letter uploaded through the submission form.
  • Photo submissions may be in horizontal or portrait format, but must be sized/cropped to 16x20 and 300 pixels per inch (4800x6000 pixels) upon submission.
  • Photos must be submitted in JPEG format.
  • Images must not include a border.
  • Digitally manipulating photos should be kept to a minimum. Your photograph must authentically depict the subject or setting as you saw it when you took the photograph. HDR, panoramic and stitched photos are permitted as long as they fit within the 16x20 size requirement.
  • Each submission must include a caption written by the photographer that adequately and concisely defines and describes the photograph and a statement about why the subject of the photograph should continue to be protected/preserved. Please use the caption template and upload through the submission form.
  • Photographs must adhere to Chapter 24 of the Texas Administrative Code for Restricted Cultural Resource Information (RCRI).
  • Submitters must indicate on the submission form whether the location of an archaeological resource depicted in the submitted photograph requires restriction according to the Antiquities Code of Texas, or to otherwise protect the site(s) from vandalism and destruction.
  • Photographs of human remains will not be accepted.
  1. Submissions may be juried* for space based on the following criteria:
    • Adherence to the above-listed subject matter criteria and submission requirements
    • Originality
    • Superior composition and artistic excellence
    • Conveyance of multi-culturalism and diversity

* The judging panel will include 5 TxPAN Advisory Council Members. Photograph submissions that are not selected for the physical exhibit may still be selected for an online exhibit.

  1. Content Restrictions:
  • The Submission must not contain image(s) of human remains, items of cultural patrimony, sacred objects or sites that, through Section 106 or NAGPRA consultation, have been requested to not be displayed publicly.
  • The Submission must not contain material that violates or infringes any rights of any other party, including but not limited to copyright, trademark, privacy, publicity, or any other intellectual property rights;
  • The Submission must not contain materials which contain visible identifiable or potentially identifiable information, including but not limited to, phone numbers, website links, street addresses, email addresses or license plate numbers;
  • The Submission must not disparage Sponsor or any other person or party;
  • The Submission must not contain material that is inappropriate, indecent, obscene, hateful, tortious, defamatory, slanderous, libelous, or offensive to a cultural group;
  • The Submission must not contain material that promotes bigotry, racism, hatred, or harm against any group or individual or promotes discrimination based on race, gender, religion, nationality, disability, sexual orientation, or age;
  • The Submission must not contain material that is unlawful, in violation of or contrary to the laws or regulations of the United States or of any jurisdiction where Submission is created;
  • The Submission must be consistent with the image and values of Sponsor and be consistent with and satisfy the purpose of the Exhibit.
